Health in Motion Gift Voucher Terms and Conditions

These terms apply to gift vouchers purchased directly from Health in Motion.

Our aim is to make giving and using a Health in Motion gift voucher simple and enjoyable. These terms set out the practical boundaries of the voucher, while giving us enough flexibility to help where circumstances change.

Where something unexpected happens, please contact us. We will consider reasonable adjustments or alternatives where we can, while keeping the voucher fair, clinically appropriate and manageable for everyone involved.

For the purchaser

1. Voucher options

Gift vouchers are available for:

·       Initial Consultation Gift Voucher - £95

·       Gift Credit - £50, £75, £100 or £150

·       Six-Session Care Package Gift Voucher - £450

The voucher purchased, its value and the terms shown at the time of purchase apply to that voucher.

2. Where Health in Motion vouchers can be used

Health in Motion gift vouchers may only be used towards services provided directly by Health in Motion.

They cannot be used towards physical products, services provided by Pitshanger Clinic, or services provided by other practitioners or businesses operating from Pitshanger Clinic.

Although Health in Motion is based within Pitshanger Clinic, the two businesses operate separately for the purposes of these gift vouchers.

3. Buying more than one voucher

Each order is for one gift voucher only. This allows us to issue a unique voucher number for each voucher purchased and helps us keep redemption secure and straightforward.

If you would like to purchase more than one voucher, whether for the same person or for different people, please place a separate order for each voucher.

For example, if you would like to give someone an Initial Consultation Gift Voucher and £50 Gift Credit, please purchase these as two separate orders. You will receive a separate voucher email and unique voucher number for each purchase.

4. Delivery of the voucher

The gift voucher is emailed to the purchaser after successful payment.

The purchaser may print the voucher, place it inside a card, or forward the voucher email to the person they wish to give it to.

A purchase receipt is sent separately.

Gift vouchers are transferable until they are redeemed.

If you realise after purchase that the voucher would be better used by someone else, please contact us before it is redeemed and we will usually be able to help.

5. Voucher validity

The expiry date is shown on the voucher.

For vouchers purchased between 1 October and 24 December, the voucher expires on 30 June of the following year. This is to allow for vouchers purchased in advance as Christmas gifts.

For vouchers purchased at other times, the voucher is valid for 6 months from the purchase date.

The voucher or any remaining credit must be used before the expiry date.

We understand that circumstances sometimes change. Health in Motion may consider an extension in exceptional circumstances, although an extension cannot be guaranteed.

If you think there may be a problem using the voucher in time, please contact us as early as possible.

6. Online purchases, cancellation and refunds

For vouchers purchased online, the purchaser generally has the right to cancel the purchase within 14 days, beginning the day after the purchase is made, without giving a reason.

To cancel, the purchaser should contact Health in Motion within the cancellation period and clearly state that they wish to cancel the purchase.

If the voucher has not been redeemed, a qualifying cancellation within the 14-day period will normally receive a full refund.

If the purchaser or voucher holder asks Health in Motion to begin providing services during the 14-day cancellation period, we may ask for confirmation that they wish the service to begin during that period.

If part of the voucher has already been used when the purchaser cancels, any refund may be reduced to reflect the service already provided, where permitted by law.

After the 14-day cancellation period, gift vouchers are not normally refundable or exchangeable for cash, except where required by law.

If circumstances change after this period, please speak to us. While a refund may not be available, we may be able to help with a transfer or another reasonable way of using the voucher.

Nothing in these terms affects the purchaser's statutory rights.

7. Lost, deleted or replacement vouchers

If a voucher email is lost or deleted, Health in Motion may reissue it where the original purchase can be verified.

A replacement voucher retains the original expiry date and entitlement unless Health in Motion confirms otherwise.

If a voucher is cancelled and replaced with a new voucher number, the original voucher becomes invalid.

If you are unsure whether you still have the correct voucher, please contact us before booking and we can check our records.

For the person using the voucher

8. How to book

Voucher appointments may be booked by telephone or in person at the clinic.

To book by telephone, please call 020 8991 5280 and let reception know that you have a Health in Motion gift voucher.

Please make clear when booking that you are redeeming a Health in Motion gift voucher.

Please do not book online, as online appointments require payment at the time of booking.

If you are not sure which appointment or practitioner would be most appropriate, reception will be able to help you book the most suitable appointment.

Appointments remain subject to practitioner availability.

9. Voucher validation

Each voucher has a unique voucher number.

The whole voucher is validated against Health in Motion's internal voucher record when it is presented for redemption.

Our internal record confirms what may be redeemed, including:

·       the voucher number

·       the voucher type

·       the voucher description or value

·       the expiry date

·       whether the voucher is active, cancelled, expired or has already been redeemed

If any information shown on an emailed, printed, forwarded or saved copy of the voucher differs from Health in Motion's internal record, the internal record will determine what can be redeemed.

A voucher that our records show as already redeemed cannot be redeemed again.

Vouchers that have been altered, duplicated, cancelled or expired may not be accepted.

If there is a discrepancy, we will explain what our records show and, where appropriate, help you understand the options available.

Once a voucher has been validated and transferred into the recipient's patient account, the original voucher is marked as redeemed, and any remaining entitlement is managed through the practice management system.

10. Initial Consultation Gift Voucher

The Initial Consultation Gift Voucher provides one Initial Consultation at Health in Motion.

It may be used by:

·       a new patient

·       a returning patient who needs a new Initial Consultation, including where they have a new problem or it has been six months or more since their last appointment

If you are unsure whether an Initial Consultation is the right appointment, please contact us, and we can advise you before you book.

11. Gift Credit

Gift Credit may be used towards any service provided directly by Health in Motion.

It cannot be used towards physical products, services provided by Pitshanger Clinic, or services provided by other practitioners or businesses operating from Pitshanger Clinic.

When the voucher is first presented and validated, its full value is transferred as credit to the recipient's patient account in Health in Motion's practice management system.

The original voucher is then marked as redeemed.

If the cost of a service is greater than the available credit, the recipient may pay the difference.

Any remaining credit is managed through the recipient's patient account and must be used before the voucher expiry date.

Gift Credit cannot be exchanged for cash.

If you are unsure how best to use the credit, please ask us. We can help you understand which Health in Motion services may be appropriate.

12. Six-Session Care Package Gift Voucher

The Six-Session Care Package provides six treatment sessions at Health in Motion.

When the voucher is first presented and validated, the six-session package is transferred to the recipient's patient account and the original voucher is marked as redeemed.

The package is intended mainly for someone continuing care for an existing problem or agreed care plan.

If the recipient needs a new Initial Consultation, has a different problem, or their circumstances have changed, Health in Motion may adjust how the voucher value is used so that the recipient receives an appropriate assessment appointment.

If fewer than six treatment sessions are required, the remaining value may be used or transferred by agreement with Health in Motion.

Our aim is for the recipient to receive useful care rather than feel tied to a format that no longer suits their needs. Where the original package is no longer the best fit, we will discuss reasonable alternatives with them.

The voucher or any remaining package value may be used towards services provided directly by Health in Motion.

It cannot be used towards physical products, services provided by Pitshanger Clinic, or services provided by other practitioners or businesses operating from Pitshanger Clinic.

All treatment remains subject to appropriate assessment, consent and the professional judgement of the treating practitioner.

13. Cancellation of booked appointments

Once an appointment has been booked, Health in Motion's usual appointment cancellation policy applies.

A missed appointment or late cancellation may be charged against the voucher, Gift Credit or care package in accordance with that policy.

Please contact us as soon as possible if you anticipate a problem attending an appointment. The earlier we know, the more opportunity we may have to help with rearranging it.

14. Practitioner or service changes

Health in Motion may occasionally need to change practitioner availability or the way a service is delivered.

If the intended practitioner or service is no longer available, Health in Motion will discuss an appropriate alternative or how the remaining voucher value can be used.

We will make reasonable efforts to find an option that preserves the value and purpose of the gift where possible.

15. Clinical care

Purchasing or receiving a gift voucher does not create a clinical recommendation.

Treatment is subject to appropriate assessment, consent and the professional judgement of the treating practitioner.

A practitioner may recommend a different appointment type, another Health in Motion practitioner, or another healthcare professional where appropriate.

Where the original voucher is not the best fit for the recipient's needs, we will explain why and discuss reasonable alternatives where possible.

16. Contact

For questions about purchasing, cancelling or redeeming a gift voucher, please contact Health in Motion.

If something about the voucher is unclear or your circumstances have changed, please speak to us rather than assuming the voucher cannot be used. We will do our best to help within the terms above.
